Commercial Property Paralegal
We are seeking a Commercial Property Paralegal to join our client's busy, client-focused commercial property team. The successful candidate will support fee earners in managing a varied caseload of commercial property matters, deliver excellent client care, assist with compliance and file maintenance, and contribute to efficient team workflows. This role provides opportunities for professional development and exposure to a wide range of commercial property tasks. Hybrid working arrangements may be available depending on team requirements.
Key responsibilities:
Assist with the end-to-end progression of commercial property transactions including acquisitions, disposals, leases (lettings and acquisitions), assignments, licences, landlord and tenant matters, easements and covenants, and property due diligence, supporting matters from initial instruction through to completion and post-completion administration.
Prepare, review and check documentation such as heads of terms, leases, licences, contract packs, completion statements, client engagement letters and correspondence; ensure documents are accurate and compliant with firm precedents and procedures.
Maintain and update electronic case files, ensuring clear file notes, timely record of actions and accurate milestones to support fee earners and enable effective file reviews and audits.
Liaise with clients, landlords, tenants, surveyors, planners, local authorities, lenders, agents and other third parties to obtain documentation, chase outstanding items and manage expectations professionally.
Support due diligence processes including searches, title investigations, reporting on defects and preparing report bundles for fee earners.
Assist with the preparation of completion/capital account figures, manage disbursement requests, process client account transactions and support billing and fee recovery processes under supervision.
Carry out client identity checks and assist with anti-money laundering (AML) compliance, maintaining robust audit trails and supporting internal and external file reviews.
Respond to routine client and third-party enquiries by telephone and email, escalating complex issues to fee earners in a timely manner.
Key skills and experience required:
Previous experience in a commercial property paralegal or property support role within a law firm or property practice, with familiarity of commercial transaction types.
Good understanding of commercial property processes including lease negotiations, assignments, licences, landlord and tenant issues, title matters and due diligence.
Knowledge of AML and client identification requirements and experience maintaining audit-ready files.
Strong organisational skills with the ability to manage competing priorities, meet deadlines and maintain attention to detail across multiple matters.
Professional communicator with good interpersonal skills and the ability to liaise effectively with clients, colleagues and external contacts.
Commercially aware, proactive and solutions-focused with a willingness to learn, embrace new systems and support team improvements.
Ability to draft and review standard commercial property documentation and prepare clear supporting correspondence and reports.
