Legal Receptionist
We are seeking a professional and friendly legal receptionist to join our client's busy, client-focused front of house team. The successful candidate will be the first point of contact for clients and visitors, providing an efficient, welcoming and confidential reception service. This role supports fee earners and back-office teams by managing communications, handling routine administrative tasks, maintaining accurate records and contributing to a smooth office environment. Opportunities for development and hybrid working arrangements may be available depending on team requirements.
Key responsibilities:
Provide a professional first point of contact for clients, visitors and external contacts in person, by telephone and by email; manage visitor sign-in, meeting room bookings and ushering clients to appointments.
Manage incoming and outgoing communications, including routing calls, taking accurate messages, responding to routine enquiries and escalating matters to fee earners or administrators as appropriate.
Receive, sort and distribute post and deliveries; prepare outgoing post and couriers, ensuring secure handling of confidential documents.
Maintain reception areas and meeting rooms to a high standard; ensure hospitality for client meetings and support estate management and health & safety procedures.
Assist with basic administrative tasks such as photocopying, scanning, filing, printing and document preparation to support fee earners and administrative teams.
Register new client instructions and create or update client records in the case management system in line with firm procedures, ensuring accurate data entry and audit-ready files.
Carry out client identity checks and support anti-money laundering (AML) processes where required, maintaining clear records and escalating any concerns in accordance with policy.
Support office supply management by monitoring stock levels and placing orders for stationery and refreshments as required.
Contribute to continuous improvement by identifying opportunities to streamline front-of-house processes, update templates and support technology rollouts.
Provide cover and support to other administrative colleagues during busy periods and assist with induction of new front-line staff as needed.
Key skills and experience required:
Previous experience in a legal reception, customer service or administrative role within a professional services environment, preferably a law firm or regulated setting.
Confident and professional communicator with excellent telephone manner and strong interpersonal skills; able to build rapport with clients and colleagues.
High level of personal presentation and a friendly, approachable manner combined with discretion and respect for client confidentiality.
Proficient IT skills, including experience with Microsoft Office applications and willingness to learn case management and document systems.
Strong organisational skills with the ability to prioritise competing tasks, maintain accuracy and remain calm under pressure.
Reliable, proactive and solutions-focused with a customer-service attitude and a collaborative approach to supporting the wider team.
