Legal PA/Legal Secretary (Hybrid)
We are seeking an organised and experienced Legal PA/ Legal Secretary to provide high-quality administrative and secretarial support within an established Legal 100 legal practice. This hybrid role offers the opportunity to work closely with senior fee earner(s), clients and support teams across a varied caseload while contributing to the efficient delivery of legal services.
The successful candidate will combine excellent administrative and communication skills with strong attention to detail and the ability to manage competing priorities. They will support fee earners with document preparation, file management, client correspondence, diary coordination and general legal administration while maintaining confidentiality and professional standards.
Salary up to £33,000
Key responsibilities:
Provide comprehensive secretarial and administrative support, including audio typing, to fee earners and legal teams across a busy caseload.
Prepare, format, proofread and amend legal documents, correspondence, reports, statements, forms and other written materials accurately and within required timescales.
Manage digital and paper-based client files, creating electronic court bundles, ensuring documents are saved, organised, indexed and maintained in accordance with firm procedures.
Open, close and update client and matter files, completing relevant administrative checks and maintaining accurate records on the firm’s case management system.
Handle telephone calls, emails and correspondence from clients, colleagues, courts, counsel, experts and other external contacts in a professional and timely manner.
Arrange appointments, meetings, conferences, hearings and other commitments, maintaining accurate diaries and notifying relevant parties of changes.
Prepare and submit court forms, filings, bundles, notices and other documents, monitoring deadlines and escalating potential issues where required.
Assist with legal billing administration, including requesting bills, processing time recording information, monitoring disbursements and liaising with the legal accounts team.
Arrange travel, meetings, room bookings, video conferences and other practical requirements for fee earners, clients and external contacts.
Assist with the preparation of meeting materials, attendance notes, action points, chronologies, bundles and other case-related documentation.
Maintain confidentiality and comply with professional standards, data protection requirements, information security procedures and the firm’s policies.
Work effectively in a hybrid environment, using digital communication, document management and collaboration systems to support colleagues and maintain service quality.
Key skills and experience:
Previous experience working as a legal PA or legal secretary in a comparable legal support role for a minimum of a year.
Experience supporting fee earners within a solicitors’ firm, legal department or professional services environment.
Good understanding of legal terminology, document preparation, file management, court processes and legal administration.
Excellent written and verbal communication skills, with a professional and client-focused approach.
Strong organisational skills and the ability to manage multiple tasks, deadlines and priorities accurately.
High level of attention to detail, with excellent proofreading and document formatting skills.
Confident using Microsoft Office, including Word, Outlook and Excel, together with legal case management and document management systems.
Ability to work independently while contributing positively to a collaborative team environment.
Discreet and reliable when handling confidential client, financial and commercially sensitive information.
