Conveyancing Assistant
We are seeking a proactive and detail-oriented Conveyancing Assistant to join our Residential Property team. Based at our Kent office, the successful candidate will provide essential support to solicitors and fee earners in managing residential conveyancing matters, helping to ensure the smooth progression of transactions, exceptional client service, and accurate file administration from instruction through to post-completion.
Key responsibilities:
Provide administrative and case progression support across a caseload of residential property matters including freehold and leasehold sales and purchases, remortgages and transfers of equity; take ownership of allocated tasks and progress files in line with supervision and firm procedures.
Prepare and proofread correspondence, completion statements, client letters, forms and standard conveyancing documents such as requisitions, replies to enquiries and completion packs; ensure accuracy and consistency with firm precedents.
Conduct and record pre-completion searches and enquiries, obtain and check Land Registry documentation and assist with obtaining information from clients, lenders, estate agents, surveyors and managing agents to help resolve straightforward title, leasehold or planning queries.
Handle client communications, maintain regular updates and escalate complex or urgent matters to supervising solicitors or partners as appropriate; ensure excellent client care and timely responses.
Assist with the management of client funds and transaction monies under supervision, prepare completion statements and ensure paperwork for completion (including mortgage instructions and pre-completion notices) is ready and compliant.
Support post-completion tasks such as preparing Land Registry applications, HMRC SDLT returns, filing documents, arranging indemnity policies and completing post-completion correspondence and registrations.
Maintain accurate and up-to-date client files within the case management system; open, manage and close files in accordance with firm procedures, ensure documents are scanned, indexed and stored correctly in the document management system, and keep comprehensive file notes.
Key skills and experience:
Previous experience in residential conveyancing or within a legal/conveyancing environment, with familiarity of sales, purchases and remortgages.
Strong attention to detail with good drafting and proofreading skills when preparing correspondence, completion statements and routine documentation.
Working knowledge of Land Registry processes, basic understanding of Stamp Duty Land Tax (SDLT) and common residential title issues including leasehold matters is desirable.
Good communication and interpersonal skills, able to liaise professionally with clients, lenders, estate agents and other third parties.
Confident user of case management and document management systems and Microsoft Office.
Well organised with the ability to prioritise workload, meet deadlines and work both independently and as part of a team in a client-focused environment.
Awareness of confidentiality, data protection and anti-money laundering requirements relevant to legal practice and willingness to undertake required compliance checks and training.
