Conveyancing Paralegal
We are recruiting for an office-based Conveyancing Paralegal to join our residential property team in Lincoln. Reporting to senior team members, you will progress allocated matters from instruction to completion, provide clear and professional client service and ensure adherence to firm and regulatory requirements.
In a supportive and collaborative setting, you will support case progression, prepare and review documentation, keep accurate file records, and liaise with clients and relevant third parties to help transactions run smoothly.
Key responsibilities:
Support fee earners on a range of residential property matters including sales, purchases, remortgages, transfers of equity and leasehold issues; manage allocated tasks on files from instruction to completion and assist with post‑completion actions.
Prepare, review and issue documentation such as contracts, completion statements, transfer deeds, SDLT returns and mortgage deed packs for approval; ensure documents are accurate, compliant and professionally presented.
Liaise with clients, estate agents, lenders, local authorities, HM Land Registry, other firms and third parties to obtain searches, replies to enquiries, undertakings and required paperwork; provide timely updates to clients and fee earners.
Conduct and review property searches and supporting reports, raise and respond to straightforward pre‑contract enquiries, and flag complex issues to the supervising solicitor with suggested next steps.
Assist with the financial aspects of transactions including obtaining redemption figures, preparing completion statements, arranging transfer of funds and ensuring client identification and anti‑money laundering checks are completed in line with firm policy.
Maintain and update the case management system and electronic document management; open and close files, record accurate file notes and ensure documents and correspondence are saved and indexed in accordance with firm procedures.
Support billing and administrative processes by recording time accurately, preparing fee notes, assisting with disbursement queries and escalating issues to line management when necessary.
Key skills and experience:
Previous experience in residential conveyancing as a paralegal, legal assistant or similar role within a law firm or conveyancing practice, with experience of supporting a varied caseload.
Knowledge of residential property practice including Land Registry procedures, SDLT basics, leasehold and freehold matters, and common property searches and forms.
Strong written and verbal communication skills with attention to detail and accuracy in preparing documentation and correspondence.
Confident user of case management systems, electronic document management and Microsoft Office applications (Word, Outlook, Excel); willing to learn new systems and document automation tools.
Organised with the ability to prioritise tasks, manage competing demands and meet deadlines while maintaining a client‑focused approach.
Understanding of anti‑money laundering requirements and firm compliance procedures; competent numeracy for preparing completion statements and handling financial information.
Good interpersonal skills, able to work collaboratively within a team and communicate confidently with clients, lenders, estate agents and other professionals.
