Legal Secretary
We are seeking an experienced Legal Secretary to join our office-based team. The successful candidate will provide comprehensive secretarial and administrative support to fee earners across multiple practice areas, ensuring excellent client care and efficient case progression.
You will join a supportive firm and contribute to delivering a professional service while participating in ongoing improvements to processes and document management.
Key responsibilities:
Provide high-quality secretarial support to fee earners, including drafting and formatting letters, emails, bundles, court forms and standard documents; ensure documents are accurate, professionally presented and issued within required timescales.
Manage fee earners’ diaries and appointments, co-ordinate meetings and client conferences (in person and virtual), and make travel arrangements where required; prioritise and re-schedule as necessary to meet client and internal deadlines.
Maintain and update case management and electronic document management systems; open and close files, ensure accurate file notes, save and index correspondence and other documents in line with firm procedures and quality standards.
Prepare court bundles, witness statements and other litigation documents, ensuring pagination, indexing and compliance with court rules and internal guidance; assist with filing and document service where required.
Assist with billing administration and time recording by preparing timesheets, supporting fee earners to record time accurately and chasing outstanding entries as needed; prepare client correspondence and basic completion statements when required.
Liaise professionally with clients, counsel, courts, third parties and internal colleagues to obtain information, progress actions and provide timely updates; handle telephone and reception enquiries in a client-focused manner.
Key skills and experience:
Proven experience as a legal secretary or senior legal administrator within a law firm or legal environment; experience supporting solicitors or fee earners across one or more practice areas (residential property, private client, litigation or similar desirable).
Excellent written and verbal communication skills with strong attention to detail and high standards of accuracy in drafting and document preparation.
Confident user of case management systems, electronic document management and Microsoft Office applications (Word, Outlook, Excel); comfortable adopting new systems or document automation tools.
Highly organised with the ability to prioritise competing demands, manage multiple tasks and meet tight deadlines while maintaining a professional and client-focused approach.
Experience in preparing court bundles, forms and managing filing procedures desirable; knowledge of billing processes and time recording advantageous.
Excellent interpersonal skills, able to work collaboratively within a team and liaise confidently with clients, counsel and external organisations.
