Conveyancing Assistant
We’re seeking a Conveyancing Assistant to support our residential property team. Within this role you'll help progress conveyancing files, deliver strong client service and admin support, and work closely with fee earners to ensure smooth transactions from instruction to completion. Key responsibilities:
Provide day-to-day case administration and support for a personal or team caseload of residential property transactions, including sales, purchases, remortgages and transfers of equity; ensure files are kept up to date and matters progress in line with agreed timescales.
Prepare standard documentation and correspondence such as client engagement letters, ID and AML checks, information packs, basic contract bundles and completion paperwork; ensure accuracy and compliance with firm procedures.
Open, maintain and close electronic files on the case management system, ensure thorough file notes and document management, and assist with time recording and billing information.
Liaise proactively with clients, estate agents, mortgage lenders, surveyors, other firms and third parties to request documentation, chase outstanding actions and update stakeholders on progress.
Arrange and manage searches, obtain and check identity and source of funds documentation, and support fee earners with completion administration including preparation of completion statements and handling client and SDLT paperwork in accordance with regulated requirements.
Assist with basic title and document checks, flagging potential issues to fee earners and escalating complex matters to senior colleagues as required.
Key skills and experience:
Previous experience in a conveyancing support or legal administrative role within a law firm, conveyancing practice or estate agency is desirable.
Good understanding of residential conveyancing processes and terminology, including knowledge of searches, mortgage administration and completion procedures.
Strong organisational skills, attention to detail and the ability to manage competing priorities in a busy environment.
Excellent written and verbal communication skills with a professional manner when dealing with clients and third parties.
Familiarity with case management systems, electronic document management and Microsoft Office applications; comfortable learning new systems and document automation tools.
