The successful candidate will provide high‑level paralegal support across a varied commercial real estate caseload, deliver excellent client service, ensure compliance with regulatory and firm procedures, and contribute to efficient team workflows and matter management.
Key responsibilities:

Prepare, review and manage transaction documentation including heads of terms, leases, licences, transfer deeds, surrender documents, completion packs and ancillary agreements, ensuring accuracy and adherence to firm precedents.
Coordinate and conduct detailed property searches, title investigations and covenant checks; liaise with HM Land Registry, local authorities, surveyors, planning consultants and other third parties to obtain and review documentation and to resolve title or planning issues.
Carry out client identity checks and support anti‑money laundering (AML) compliance, maintaining robust audit trails and ensuring files are audit‑ready in line with firm procedures.
Draft and check completion statements, manage client account transactions and disbursement requests, and assist with billing and fee recovery in accordance with firm policies.
Open and maintain comprehensive electronic case files, recording clear case notes, action plans and milestones to support efficient file reviews and handovers.
Liaise professionally with clients, property owners, funders, agents, occupiers and external advisers; respond to routine enquiries and escalate complex or novel issues to fee earners promptly.
Support continuous improvement by identifying process efficiencies, contributing to precedent updates and assisting with implementation of transaction management systems and workflow tools.
Provide guidance, supervision and mentoring to more junior paralegals and support staff, assisting with training, inductions and quality control checks on work prepared by junior team members.
Key skills and experience required:
Commercial property paralegal experience within a law firm or in‑house legal team, handling complex and high‑value transactions such as commercial leases, acquisitions, disposals and refinances.
Strong technical knowledge of commercial property law and practice, including title investigations, lease documentation, Land Registry procedures and property due diligence.
Proven experience of preparing and reviewing transactional documentation to a high standard and managing multiple matters to deadline with excellent attention to detail.
Familiarity with AML and client identification requirements and demonstrable experience maintaining audit‑ready files and compliance records.
Excellent organisational and time management skills with the ability to prioritise competing workloads and deliver under pressure.
